Three objects people call a signature stamp
| Object | What it contains | What it does not prove |
|---|---|---|
| Handwritten signature image | Pixels captured from paper or drawn on screen | Identity, authorization, or document integrity by itself |
| Approval or status stamp | Text or graphics such as Approved, Reviewed, or a date | That a specific person cryptographically signed the file |
| Digital-signature appearance | A visible panel associated with certificate data | The visible graphic alone is not the certificate; validation requires the signature data |
| Empty signature field | A prepared place where a signing tool can add a signature | That anyone has signed it yet |
Step by step
- 01
Start with the visible mark
A scanned handwritten signature can be saved as a transparent PNG and reused like a stamp. It is visual page content once placed.
- 02
Separate status stamps
Approved, Draft, Received, and date stamps communicate document status. They are not necessarily signatures, even when a person’s name appears.
- 03
Separate digital signatures
A certificate-based digital signature uses cryptography to help verify the signer’s certificate and detect later changes. Its visible appearance is only one part of the signed data.
- 04
Check the recipient’s wording
If a form asks for a wet signature, verified digital signature, qualified signature, or signing-portal completion, a reusable image stamp may not satisfy the request.
- 05
Handle reusable images carefully
A clean signature PNG is convenient, but also easy to copy. Keep the source private and share the completed document instead of the loose image whenever possible.
Use the precise term
- Say ‘signature image’ when you mean a PNG or scanned mark.
- Say ‘approval stamp’ when the mark communicates status rather than signing intent.
- Say ‘certificate-based digital signature’ when verification and tamper detection are required.
Questions
Is a signature stamp legally binding?
The label alone cannot answer that. Acceptance depends on the document, intent, authorization, recipient requirements, workflow, and applicable law.
Is a scanned signature a stamp?
It can be used like a reusable image stamp in PDF software, but it remains an image of handwriting rather than a cryptographic signature.
Why should a signature stamp use transparent PNG?
Transparency lets the handwriting sit over the document without a visible white rectangle around it.
Can I validate a signature stamp in Acrobat?
Only a certificate-based digital signature has certificate data to validate. A standalone image or ordinary stamp has no cryptographic signature to validate.
